Halcyon's By The People Festival: How One Organization is Using Data to Unite People Around Art

Gabby Weiss

Halcyon is a DC-based arts and culture organization that brings together diverse groups of changemakers in art and social enterprise and provides a safe haven for their bold ideas to take flight. Their incubator, arts fellowship, and public policy dialogue programs encourage socially engaged creatives to advance their talents and visions, transforming their inspiration into impact. In June 2018, they hosted their inaugural By the People festival, an international arts and dialogue festival taking place across the city of Washington D.C. and focusing on themes of life, liberty, and the pursuit of happiness.

I work out of EveryAction’s D.C. office, so I decided to head out to the festival and see for myself how Halcyon used database technology to bring together diverse communities for a weekend centered around art and dialogue.

When I first went to the website to register for access to the weekend-long festival, I didn’t even have to type my contact information into the form - thanks to EveryAction’s Action Profiles, my information was pre-filled and all I had to do was click “submit” to complete my registration.Screen Shot 2018-06-13 at 5.04.17 PM

EveryAction online forms enable users to tap into our massive network of over 59 million Action Profiles. In fact, 33% of EveryAction forms have at least one field pre-filled due to a previous action being taken within our network, giving our clients a 3.5x boost in their conversion rates. In my case, this made it quick and simple to register for the By the People festival, providing a great user experience that left me ready to see what else they had to offer.

The festival offered a variety of experiences, from pop up art shows, to traditional galleries, to academic dialogues about topics such as human connection in the digital realm and achieving peace between Israel and and Palestine, to a virtual reality art hunt.

When I arrived at my first exhibit, checking in at the registration table was smooth and simple because I had pre-registered online. Staff at each location were equipped with tablets using the MiniVAN mobile app to easily register drop-ins, collecting their information on the spot and storing it instantly in the database, eliminating the need for tedious data entry afterward.

When asked what they love about using EveryAction tools, a representative from Halcyon mentioned the "user friendly interface, always updating features and listening to customer feedback, great Online Action product that connects form submissions with contact records, [and that EveryAction is] a forward thinking company with world impact and progressive causes in mind."

Using database tools like EveryAction makes it easy for event organizers to track and report on event attendance quickly and accurately. Ultimately, over 26,000 people attended official events during the By the People festival, and we already can't wait for next year!
