If you’re a nonprofit professional you know what it’s like to drown in excel spreadsheets tracking your supporters, donations, major gifts prospects, and almost anything else.
From your board members requesting the latest donor stats to your digital director asking for email conversion rates, tracking your data can be hard. But it doesn’t have to be.
Here are some key tools your nonprofit should have to meet your reporting needs:
Customizable reports that allow you to get roll up data and detailed data
Depending on your CRM, you might have fully customizable reports where you build them from scratch or canned reports with all the columns and form fields ready for you to run. Ideally, your perfect reporting tool combines the two. Purely canned reports are inflexible and won’t always fit your reporting needs. While fully customizable reports may seem exciting, but can be cumbersome, time-consuming and require a lot of know-how to build the exact report you need. We love pre-built reports that give you an easy place to start, but can be quickly customized with a ton of filters, columns, and sorting.
An example of a great customizable report in the EveryAction tool set is our contributions report:
As you can see this report comes right out of the box with a lot of the information you’ll need. However, you’ll be able to edit this data and add the columns that matter to you.
So there you have it, detailed data at the micro level where you can learn everything you need to know about specific contributions! But what about the roll up data for those big picture meetings?
Any good reporting tool should have the ability to aggregate numbers based off the category of your choosing.
EveryAction makes that possible (and super easy!). Simply click Group By → Date Received: Month, and you’re able to see total numbers for each month of the year in categories like: total number of contributions, total contribution amount, and dozens more!
A moves management report that’s more than just an excel spreadsheet
So picture this, you’re starting out at your brand new job as a major gifts officer at the nonprofit of your dreams. You’re looking at your predecessor’s documents for tracking prospective major donors and you’re faced with an endless number of spreadsheets.
Sounds horrible, right? If they're working with a clunky CRM that makes it time-consuming to enter relationship data, many major gifts officers will fall back on using spreadsheets and their memories to store and keep track of important milestones and the life cycle of major donor prospects.
In EveryAction, we’ve built Moves Management reports to reflect the way that Development teams actually think about their major donor pipeline. From the identification stage to stewardship, this report has everything you need to track your major donor prospects from start to finish.
As you can see from the sample report above, a Moves Management report shows you everything from who is soliciting the gift to the status of the ask to the campaign it’s under.
We love how this feature allows you to sort your major gifts by status. Go to the group by bar and select "Status" where you can easily see an overview of your major gift pipeline and take note of how many accounts are in the stewardship or cultivation phase of your process.
Welcome to the modern way of major gifts!
A dashboard to visualize your data
If you have all your data in one place, great! You might even have automated reports, and streamlined processes but how does it look?
At your next board meeting are you submitting rows and rows of numbers to show your growth and successes? Good data is important, but if your viewer can’t understand it, it isn’t always helpful. Now you can obviously take your numbers and create charts and graphs on your own. But, a great reporting tool should have that functionality included.
EveryAction features data visualization tools to help your reports come to life. Users are automatically equipped with default “Analytics Dashboards” that include pre-built (and beautiful) charts and graphs on deliverability stats, online activity numbers, organizing metrics, email performance and more! All you have to do is click drag, and drop the metrics you’re measuring. Each user can create their own dashboard to see the data that interests them!
These are just three of the features EveryAction provides to ensure success for development professionals. We truly believe that to do more good you need to start with great tools and great practices. If you have any questions or are interested in getting a demo, click here!
